Field Data Collection: Working Where Connectivity Ends

The data that matters — distribution attendance, household surveys, indicator measurements — is born precisely where the network is weakest. A collection strategy that assumes permanent connectivity is a strategy that will fail in the field.

The three families of collection tools

  1. Mobile survey platforms (KoboToolbox, SurveyCTO, ODK): the reference for structured offline questionnaires — complex forms, entry controls, GPS, photos, deferred synchronisation. Indispensable for surveys; insufficient alone for management.
  2. Paper + re-entry: still useful as a last resort, provided re-entry and archiving of originals are organised.
  3. A management platform with offline mode: for day-to-day operational data (activity progress, indicator values, expenses, timesheets), direct entry in the steering tool removes the weakest link: the transfer.

The golden rule: separate collection from management, but connect them

Kobo excels at collecting; it is not built to track targets, manage audit evidence or cross results with budgets. The healthy architecture: collect with the right survey tool, manage in the MEAL platform — and automate the hand-over between the two to kill re-entry, the number-one source of errors (see the risks of all-Excel management).

How Abvius handles the disconnected field

Abvius is built "HQ and field" — online, offline, multi-language, multi-currency:

  • Native offline mode: if the connection drops, a banner confirms your entries are stored locally; on reconnection, synchronisation runs automatically (with "Sync now" to force it). Teams keep entering progress, expenses and indicator values without interruption.
  • Evidence attached at the source: photos and receipts are attached at entry time — each indicator value carries its means of verification, each expense its receipt (with OCR auto-reading to verify), following the audit-ready file principle.
  • The link with your survey tools: questionnaires and attendance sheets can be sent from the MEAL module, and collection platforms connect through Abvius's documented API — your Kobo/SurveyCTO surveys feed indicators without double entry.
  • Immediate consolidation: as soon as synchronisation completes, MEAL dashboards and budget views are up to date — HQ sees what the field is living, without waiting for the monthly report.
  • Sensitive data protected: HDS-certified hosting in France, encryption, role-based access — the foundation of GDPR compliance on beneficiary data, including data flowing into your complaint mechanism.
  • Designed for low-connectivity AND low-equipment users: responsive interface on smartphones and tablets, business terminology, local partners included at no extra cost.

In practice

Map your collection points by connectivity level, choose a survey tool for questionnaires and Abvius offline entry for operations, and set a synchronisation rule (every mission evening, every return to base). Data quality is decided in that protocol — long before the dashboard. To choose your overall tooling, see our 2026 MEAL software comparison.
